4. WHERE - Publishing on Web Sites - Responsibility and Access Rights

5. WHEN - Sequence of Building Conference Databases, Sites & Output

Build PLANNING Site

  • Arrange Partners and Sponsors = Enter on Partner Page, with contact info, responsibilities, etc
  • Arrange Facility and Associated Hotels = Enter on Facility and Hotel pages, with diagrams, fees, contacts, web links, fees, maps, directions, room reservation info
  • Organize Planning Committee = Enter Lists, Emails, phone, responsibilities, on Committee pages; Train Planners and/or Committee on Site;
  • Decide on Theme, Logo, Presenters, Tracks, etc. = Enter on appropriate pages
  • Prepare Financial System = Chairs and/or Committee prepare Budget; Set Fees and classifications of Registrations (Student, Member, Non-Member, etc.); Decide on how Payments are to be made; Decide on ho Receipts are to be handled; Establish finacials reporting needs; Decide Reimbursement policies; etc. All this added to the appropriate Site pages
  • Populate pages with Info as soon as possible = Develop, Test then Launch Online Forms; Edit pages and data as plans are made - Keep Up To Date
  • Develop Exhibitor Management = Decide on Registration types, fees, etc.; Develop, Test then Launch Exhibitor Sign-Up Feature - Keep Up To Date on Public Site
  • Enter Presenter / Presentation Information = As either Subjects or Speakers are decided these are entered onto to sites; All committee can enter; As Each Presenter is sent Confirmation letter; Chairs need to monitor or be in charge of all the data on Presenter Database - Keep Up To Date
  • Enter Agenda Information = As Speakers are confirmed, each is assigned a data, time, and room on the Agenda Database; Chairs need be in charge of all the data on Agenda Database; Prepare Meeting Reports from the Data Entered
  • Decide on What to be moved to PUBLIC Site
  • Develop Registration Details = Decide on Registration types, fees, etc.; Develop, Test then Launch Registration Feature
  • Develop Evaluation Format

 

Build PUBLIC Site

  • Decide on Sections Needed by Attendees
  • Set a Site Launch Date
  • Populate pages with data as soon a possible
  • Launch Exhibitor Sign on Feature
  • Launch Registration Feature
  • Update Presenter and Agenda pages with data as soon as available

 

Build DAY-OF BROCHURE Data

  • Decide on Cover & Highlights Pages
  • Decide on Table of Contents Components
